Understand request and object
When a customer says ‘I want to book a table’, Muhatap AI classifies it — hotel room, clinic appointment or restaurant table — from context and keywords. Never proceeds on the wrong class.
Collect required details
Collects required fields — date, time, party size, branch, service/doctor — one by one in natural language. Clarifies gaps in a single message, never re-asks.
Check availability in connected source
Queries Google Calendar, PMS or floor plan in real time. If no calendar is connected, this step is marked ‘could not verify’.
Offer suitable options
Available slots are listed; closest match to the customer’s first choice comes first. Alternatives included.
Get confirmation
Asks explicit confirmation: ‘Shall I book Thursday 14:30?’ No record is created without it.
Save the booking
After confirmation a calendar block is created, the booking lands in panel; overlap is blocked by atomic lock.
Send confirmation message
Confirmation, location, preparation info and change link go out via SMS or WhatsApp.
Reschedule / cancel
If the customer says ‘move it to Friday morning’, re-checks availability with identity verification, then moves it.
Reminders and follow-up
Reminder 24 hours ahead, reschedule offer and no-show record if they don’t come.
Hotel — Room booking
Check-in/out, guests, room type, breakfast, contact, special needs (crib, transfer). Live price and availability when PMS is connected.
Restaurant — Table
Date, time, party, branch, terrace/garden preference, celebration note. Slots per capacity plan.
Clinic — Appointment
Service, doctor, branch, time, contact. Joint availability across doctor and device calendars.
Legal — Intake
Matter category, summary, matching lawyer and time. Minimal sensitive data collected.
What if there’s no integration?
If no calendar or PMS is connected, Muhatap AI marks availability ‘could not verify’ and never finalizes the booking. It creates a callback instead, shown as ‘pending approval’ in your panel.
